HelperHive – My Village Inc. ("MyLilVi", "we", "us", "our") is committed to safeguarding personal information ("Personal Information") in accordance with Canada's Consumer Privacy Protection Act ("CPPA"), Personal Information Protection and Electronic Documents Act ("PIPEDA"), and relevant provincial legislation. This Policy applies to users and service providers ("Data Subjects") utilizing our mobile applications, website, and associated services ("Services")

We collect only the information that is necessary to operate, secure, and improve our services.

Account Information (Users & Providers)

  • Full name
  • Email address
  • Phone number
  • City or postal code
  • Home address (for service delivery)

Identity Verification (Users & Providers)

To keep our community safe, both users and service providers upload:

  • Government-issued ID
  • Selfie capture for identity verification
  • Profile photo

Provider Information

Providers may also upload:

  • Background verification
  • Certifications (optional based on service type)
  • Bank details (to receive payouts)

Service Information

We store:

  • Booking details
  • Cancellations
  • Refund requests
  • Ticketing interactions
  • Service notes (if provided)

2.2 Information Collected Automatically

Device & App Usage Data

We may collect:

  • Device type
  • Operating system
  • IP address
  • In-app activity for diagnostics and security

Chat Messages

We store chat messages exchanged between users and providers.

Chats may naturally include personal or sensitive information (e.g., care notes, parenting details).

We do not use chat content for advertising or automated decisions.

Chats are retained for 1 year unless otherwise required for safety or dispute resolution.

2.3 Information Collected via Third Parties

We use trusted third-party partners to provide certain services:

Payments

  • Stripe, our payment partner processes payments and stores card information.
  • We store transaction history (amount, service, date).

App Hosting & Authentication

  • Firebase stores user accounts, tokens, and app data.

Background Checks

  • Our background-check partner processes ID documents and provides screening results.

Website & Blog

If cookies or analytics tools are used later, this section will be updated.

Currently, we only collect email addresses for:

4. Background Screening Procedures

All service providers undergo background screening, including identity verification, and background verification.

Data Subjects explicitly consent, via affirmative opt-in, to sharing personal and ID documents with trusted third-party screening providers.

Third-party providers may process and store personal data outside Canada. We require contractual safeguards and compliance with Canadian privacy laws and our Privacy Policy.

Screening records and decision documentation are retained per Section 7.

5. Use and Legal Basis for Processing

Personal Information is processed for: account management, service provision, booking/payment, screening, security, fraud prevention, dispute resolution, legal and regulatory compliance, and service improvement.

Legal foundation: express consent, contractual necessity, legal obligations.

Legal Basis for Collection and Use

Under CPPA, we rely on the following bases:

  • Your consent (creating an account, uploading ID, booking a service)
  • Legitimate interests (security, fraud prevention, platform integrity)
  • Legal obligation (tax and audit requirements)

You may withdraw your consent at any time, but certain features may stop working if essential information is removed.

6. How We Store and Protect Your Information

We use industry-standard security measures to protect your data, including:

  • Encrypted transmission (HTTPS)
  • Secure credential storage
  • Access controls for staff
  • Audit logs
  • Secure data separation between users and providers

We never sell or rent your data.

7. Data Retention

We keep your information only as long as necessary.

Retained for 7 Years (Legal Requirement)

  • Booking and payment history
  • Transaction details
  • Refund disputes

Retained for 1 Year

  • Chat messages

After You Request Deletion

  • All personally identifiable information (PII) is permanently removed
  • A non-identifiable technical identifier is retained for system integrity and audit trails
  • Some financial data must remain for legal reasons

8. Your Rights

Under CPPA, you have the right to:

  • Access your personal information
  • Request corrections
  • Withdraw consent
  • Request deletion

How to Request Deletion

Since the MVP does not include an in-app delete button, users may submit a ticket inside the app.

We will:

  • Verify the request, and
  • Delete all PII (Personal identifiable information) from our systems

9. Sharing Your Information

We only share your data with:

  • Stripe (payments)
  • Firebase (hosting, authentication)
  • Background check provider (provider ID checks)
  • Service providers you book (address and booking details)
  • Users who book you (for providers)

We do not share data with advertisers or sell your information.

10. Children's Privacy

We do not deliberately collect:

  • Child names
  • Ages
  • Health data

If parents or providers share such information through chat, it is covered by this Policy.

MyLilVi is intended for adults 18+.

11. International Transfers

We operate only in Canada, but some partners (e.g., Stripe, Firebase) may store or process data outside Canada.

When they do, they must meet our security and privacy standards.

12. Changes to This Policy

We may update this Privacy Policy when we launch new features, add new partners, or update security practices.
